What we collect
We only collect what you give us, or what we need to reply to you.
- Contact form: your name, company, email address, message and your consent to be contacted.
- Overview downloads: your name, company, email address and the overviews you asked for.
- Booking a working session: when you book through Calendly, your name, email address, the time you choose and anything you tell us in the booking questions.
- Emails and calls: anything you send us directly.
- Job applications: the details you share with us through LinkedIn or by email, such as your CV, work history and contact details.
We don’t ask for sensitive personal information, payment details or information about children, and we don’t use analytics or advertising trackers on this website.
How we use it and why
- To reply to you: answering your enquiry, sending the overviews you asked for, and arranging and running your working session. We do this because you’ve asked us to, and it’s in our legitimate interests to respond.
- To follow up: as a business-to-business consultancy, we have a legitimate interest in following up about how we might work together. Every follow-up lets you opt out, and we’ll stop as soon as you ask.
- To deliver work: for clients, under our contract with your organisation.
- To consider you for a role: if you apply to join us, as a step you’ve asked us to take before any offer of employment.
Where you’ve ticked a consent box, you can withdraw your consent at any time by emailing us. We never sell your information or use it for anyone else’s marketing.
Who we share it with
We use a small number of trusted providers to run this website and our business. They only use your information on our instructions.
- Webflow, which hosts this website and receives form submissions
- Calendly, which manages working session bookings
- Notion, where we manage enquiries
- Microsoft 365, which runs our email and documents
- LinkedIn, where we post our job adverts. When you apply through LinkedIn, it also handles your information under its own privacy policy.
Some of the files that make this website work, such as fonts and scripts, load from content delivery networks, which see your IP address in order to deliver them. We’ll only share your information with anyone else if the law requires us to.
International transfers
Some of our providers, including Webflow, Calendly and Notion, are based in the United States, so your information may be processed there. Where that happens, it is protected by safeguards recognised under UK law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.
How long we keep it
- Enquiries, downloads and bookings that don’t lead to working together: up to 12 months from your last contact with us, then deleted.
- Clients: for the length of the engagement and six years afterwards, in line with UK record-keeping requirements.
- Job applicants: up to six months after the role is filled, unless you agree to us keeping your details for future roles. If you join us, your information moves to your employee record.
Your rights
Under UK data protection law, you can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s inaccurate
- delete your information
- restrict or object to how we use it, including stopping any follow-up at any time
- pass your information to another organisation, where that applies
To use any of these rights, email contact@vitatechnologies.co.uk and we’ll reply within one month.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
